You submitted your applications, uploaded everything to CAQH, and hit “send.” Now comes the part that can feel the most frustrating, the waiting.

If you have ever wondered, “Did it go through?” “Why is no one responding?” or “How long is this supposed to take?” you are not alone. Credentialing has a lot of moving parts behind the scenes, and most payers do not do a great job of explaining what is happening while your file is being reviewed.

This post will walk you through what typically happens after submission, how to check your status, how and when to follow up, and what to do if your application feels stuck.

What happens behind the scenes after you submit

Once your application is received, the payer (or their credentialing vendor) usually moves through a workflow that looks like this:

Intake / file creation (your application is logged and assigned)
Primary source verification (PSV) (license verification, education checks, sanctions, malpractice, NPDB queries, and more)
Credentialing review (quality review, missing info requests, committee review in some cases)
Contracting (separate department, separate timeline)
Enrollment / loading (you are loaded into their system, directory, and claims platform)
Effective date confirmation (the date you can start billing as in-network)

Even when you submit a “complete” application, payers may still send requests for clarification, additional documents, or corrections due to mismatches (name formatting, address differences, taxonomy changes, license details, etc.).

Average credentialing timelines (realistic expectations)

Credentialing timelines vary widely by payer, specialty, and region, but here are realistic ranges:

Commercial plans: often 60–120 days
Some faster approvals: sometimes 30–60 days (less common, depends on network need)
Medicaid / state enrollment: can be 60–180+ days depending on the state, screening requirements, and portal processing
Contracting + loading: can add 2–6 weeks after credentialing approval

A key detail many providers miss is this: credentialing approval is not always the final step. You may be approved from a credentialing standpoint but still waiting on contracting or being loaded into the payer system.

How to Check Your Credentialing Application Status

The best way to check status depends on how you applied. Here are the most common pathways:

1) CAQH does not equal status

CAQH is a repository, it is not a tracking system. Your CAQH being “attested” does not mean a payer is actively reviewing your application. It only means they can access your information.

2) Payer portals and onboarding tools

Some payers offer onboarding tools or online portals where you can check the progress of your application. For example, UnitedHealthcare also offers network participation resources that may help you understand requirements and next steps. When a portal is available, use it, it can save time and reduce back-and-forth. If a portal is not available (or it does not show detailed status), your best option is to follow up directly with the payer’s credentialing department and request a clear status update.

3) Call the credentialing department and ask the right questions

When you call, you want to get beyond “it’s in process.” Ask:

Has my application been received and opened?
Is it in intake, verification, or review?
Is anything missing or pending from me?
Do you have an application/reference number?
What is the expected next milestone, and when should I check back?

Write down the name of who you spoke with, the date, and any reference numbers.

When and how to follow up

Follow-up timing is one of the biggest make-or-break factors. Too frequent can annoy the queue, too infrequent can let your file sit.

A simple follow-up rhythm that works well for most commercial plans:

7–10 business days after submission: confirm receipt and reference number
Every 14 days after that: check status and ask if anything is needed
Weekly follow-ups only if: you are in the final stage, you have a deadline, or the payer requested a quick turnaround

If you receive a request for information, respond quickly. Many payers will not move your file forward until the missing item is resolved.

What to do if your application is stuck in limbo

If you are following up and not getting clear answers, here are the most common reasons applications stall, plus what to do:

1) Your file is “incomplete” but no one told you

Solution: Ask specifically, “Is there anything missing that is preventing review?” and request the missing items list be emailed.

2) CAQH access is not authorized

Solution: Confirm in CAQH that the payer is selected for access and your attestation is current.

3) Data mismatches (name, address, taxonomy, license details)

Solution: Identify the mismatch and align it across NPI registry, CAQH, W-9, and payer application.

4) Your application was received but never assigned

Solution: Ask if it has been assigned to a credentialing specialist. If not, request escalation or re-submission confirmation.

5) Network is closed or limited

Solution: Ask if they are accepting new providers in your specialty and county. If closed, request to be notified when it reopens and keep your profile ready.

In Part 1, we talked about what credentialing is, why it matters, and how it fits into the bigger picture of building an insurance-friendly private practice. Now it is time for the very unglamorous but very important part of the process: getting organized.

Before you fill out a single application or reach out to any insurance company, there is one key step that will either make or break your experience:

Gather your documents and details ahead of time.

When this step is skipped, providers often find themselves stuck in an endless loop of emails, requests for “one more document,” and frustrating delays. When it is done well, the process feels calmer, more predictable, and honestly, a lot less overwhelming.

Think of this as building your credentialing toolkit. Once it is set up, you can reuse it every time you apply to a new panel or need to re-credential in the future.

Why This Step Matters

Most insurance companies use similar applications, especially when they pull information from CAQH, but each payer still has its own checklist and its own quirks. If one date is off, a license is expired, or your name appears differently in two places, your application can be delayed or even denied.

When everything is complete, clear, and consistent:

Payers can verify you more quickly
You spend less time digging through old emails and portals
You look organized and professional, which always helps when you need to follow up later

This is one of those “slow down to speed up” tasks. It may take an hour or two to gather everything, but it can save you weeks of back and forth.

What to Gather Before You Apply

Here is what you should have ready before submitting any credentialing paperwork.

1. NPI Number

Your National Provider Identifier is required for every credentialing application. Most providers will already have an NPI, but if you are new to practice you may need to apply for one.

Make sure you know:

Your individual NPI (Type 1)
Your group NPI (Type 2), if you will bill through a business entity

Keep a PDF or screenshot of your NPI confirmation in your credentialing folder.

You can apply for or look up an NPI at the NPPES website.

2. State License(s)

You must be licensed in the state or states where you plan to provide services. Payers will check this closely.

Confirm that:

Your license is active and not close to expiring
Your name and credentials appear exactly the same here as on your NPI and other documents
You have a clear PDF copy saved

If you hold licenses in multiple states, keep them all in one place and label them clearly. This matters especially for telehealth or multi-state practices.

3. Malpractice Insurance Certificate

Insurance companies want to know that you and their members are protected.

Most payers look for:

Coverage limits of at least 1 million / 3 million
Current effective and expiration dates
Your name or business name listed correctly

Download the full declaration page from your malpractice carrier and save it in your credentialing folder. If your policy is about to renew, it is better to wait for the updated certificate than to send something that will expire mid process.

4. W-9 Form

Your W-9 tells payers who they are contracting with and how they will report payments for tax purposes.

Double check that:

The legal name and tax ID match your business structure
The address matches what you plan to use on applications
You are using the correct EIN or SSN for your situation

If you change your address or legal business name later, remember that the W-9 and your payer records will need to be updated too.

5. Resume or CV

Your resume or CV is not just a formality. Payers use it to verify training, experience, and employment history.

Make sure it:

Includes all relevant work history and clinical roles
Accounts for gaps longer than 6 months whenever possible
Lists internships, fellowships, and supervision if they are relevant to your specialty

If you took time off for family, health, or relocation, that is completely normal. Just be ready to briefly explain long gaps if a payer asks.

6. CAQH Profile

For most commercial plans, CAQH is the central hub for your information. Many payers will not even review your application until your CAQH is complete and attested.

Review your profile and confirm that:

All licenses, malpractice policies, and practice locations are listed
Your resume or CV is uploaded and current
You have uploaded your W-9 and any other requested documents
Your attestation is up to date and you have allowed payers to access your file

A good rule of thumb is to log in to CAQH at least every 90 days to keep it current, even after you are fully credentialed.

7. Business Information (If Applicable)

If you are applying as a group practice or a solo provider with an LLC or corporation, gather:

Your EIN confirmation letter
Articles of incorporation or business registration
Your Type 2 NPI if billing under the business
Practice address and mailing address (if different)

Using consistent business details across CAQH, W-9, and applications will prevent a lot of confusion on the payer side.

8. Billing and Contact Information

Someone has to be the point person when payers have questions. Decide up front who that will be.

Clarify:

The name, email, and phone number for credentialing and contracting contact
Whether that will be you, an office manager, or your credentialing specialist
Where paper mail, checks, or important notices should be sent

If you work with a biller or credentialing specialist, make sure they are listed in the appropriate contact fields so they can speak to payers on your behalf.

Quick Tips To Stay Organized

Create a digital “Credentialing” folder in Google Drive, Dropbox, or OneDrive
Save every document as a PDF with clear names, for example: Lastname_NPI, PracticeName_W9_2025.
Use consistent spelling and abbreviations for your name, credentials, and practice name
Keep a simple spreadsheet that lists which version of each document you used and when it was last updated

This will also make re-credentialing and adding new payers much easier in the future.

Common Mistakes To Avoid

Submitting expired or soon-to-expire licenses or malpractice policies
Forgetting to complete or update your CAQH attestation
Using different practice addresses across forms without explanation
Leaving long employment gaps with no context
Ignoring emails from payers that request follow up information

Small inconsistencies can slow everything down. A few extra minutes of double-checking up front can save months of waiting later

Let’s break it down in plain English.

What Is Credentialing?

It’s their way of making sure you’re the real deal, before they agree to pay you for seeing their members.

Credentialing vs Contracting vs Enrollment

These three terms often get used interchangeably, but they’re actually three distinct steps in the process of joining an insurance network.

Credentialing = This is the verification process. The insurance company evaluates your education, training, licenses, and other credentials to ensure you meet their standards.
Contracting = Once you’re approved through credentialing, the insurance company may offer you a contract. This outlines your reimbursement rates, covered services, and provider obligations.
Enrollment = After the contract is signed, you are formally enrolled into the insurance company’s system. This is the step that officially makes you an in-network provider and allows you to submit claims.

Skipping or misunderstanding any of these stages can delay your ability to bill or get paid—so it’s important to know how they work together. You may need to go through all three before you’re officially in-network.

Why Credentialing for Private Practice Providers Matters

You might be wondering, Can’t I just see clients and bill insurance later?

Not exactly.

If you plan to accept insurance in your private practice you’ll need to go through credentialing to become in-network. Here’s why it matters:

You can’t bill most insurance companies until you’re credentialed and contracted.
You won’t appear in insurance provider directories, which can reduce your visibility to new clients.
You may not be able to accept new patients who rely on in-network benefits.
Trying to bill before you’re officially in-network could lead to denials, compliance issues, or clawbacks.

Being in-network opens the door to steady referrals, increased trust, and consistent reimbursements. It also makes care more accessible to clients who rely on insurance to receive services.

What Happens If You Skip Credentialing?

Some private practice providers assume they can just bill insurance on behalf of clients and figure out the details later. Unfortunately, that can backfire—quickly.

If you skip credentialing and try to bill anyway:

Your claims will be denied. Insurance companies will reject claims submitted by non-credentialed providers unless the service is out-of-network—and even then, reimbursement is often minimal.
You may be required to refund payments made in error or through improper billing.
You could face compliance violations, especially if you’re unknowingly billing incorrectly or using another provider’s NPI (which can raise red flags).
You’ll miss out on new client referrals from insurance directories, primary care providers, and other network-based systems.

Bonus: Do All Providers Need to Be Credentialed?

If you’re part of a group practice, sometimes credentialing is handled by the group administrator, owner or a third-party credentialing company. However, each individual provider still needs to be credentialed and enrolled with the insurance companies they plan to bill under—especially for mental health and medical specialties.

Even if you’re fully licensed and experienced, insurance companies don’t assume you’re eligible until you go
through the full process.

The Bottom Line

Credentialing is an essential step in the journey to becoming an in-network provider. It might feel tedious, but it’s the foundation for getting paid by insurance companies and building a sustainable, accessible private practice.

Yes, the process takes time. But once you’re credentialed and contracted, you’ll:

Be able to bill insurance directly
Show up in provider directories
